Why Your Emails Go to Spam (and How to Fix It)

Every mailbox provider runs a spam filter that decides, in a fraction of a second, whether an incoming email is safe to deliver or should be pushed into the spam folder. Some filters work on a scoring system, others compare new mail against known spam patterns, and the more advanced ones use machine learning to keep adapting. No two providers filter exactly the same way, which is why a message can land safely in one inbox and get buried in another.

The good news is that most spam placements aren't random. They're usually caused by a handful of fixable issues in how an email is set up, sent, or written. Below are the most common culprits our clients run into, and what you can do about each one.

1. Missing or broken email authentication

If your email isn't authenticated, mailbox providers have no reliable way to confirm it actually came from you — and that alone is one of the fastest routes to the spam folder. Three standards work together here:

  • SPF publishes the list of servers allowed to send mail on your domain's behalf.
  • DKIM attaches a digital signature that proves your message wasn't altered in transit.
  • DMARC tells receiving servers what to do with mail that fails SPF or DKIM checks, and stops others from spoofing your domain.

If any of these are missing or misconfigured, that's the first place to look. We can review and set up your SPF, DKIM, and DMARC records to make sure they're all correctly aligned.

2. A poor-reputation sending IP

Every sending IP builds up a track record over time, based on complaint rates, bounce rates, and overall sending behavior. On a shared IP, your reputation is also tied to everyone else using that same address — so if you're sharing space with bad senders, your deliverability can suffer even if your own sending is clean.

We can check your current IP reputation, confirm you're not listed on any blocklists, and move you to better-reputed sending infrastructure if needed.

3. A poor-reputation sending domain

Increasingly, spam filters weigh your domain's history just as heavily as your IP's — especially since a domain tends to stay constant even when you switch email providers. A domain with a history of complaints or blocklisting will drag down deliverability regardless of how clean your current campaign is.

4. Recipients marking your mail as spam

Nothing signals "this is unwanted mail" to a provider more clearly than a recipient hitting the "report spam" button. A rising complaint rate will steadily push more of your future mail into spam, even from otherwise engaged subscribers.

We recommend monitoring complaint rates, investigating any spike back to its source campaign or list, and immediately suppressing anyone who has complained rather than continuing to mail them.

5. An unmaintained contact list

A list built the way spammers build theirs — scraped, purchased, or never cleaned — signals exactly the kind of sending behavior filters are designed to catch. Keeping a healthy list means:

  • Only mailing people who explicitly opted in
  • Never buying, renting, or scraping addresses
  • Promptly removing unsubscribes and hard bounces
  • Periodically removing contacts who no longer open or click your mail

6. Unprotected sign-up forms

Spambots actively hunt for forms with no protection and flood them with junk or stolen addresses, driving up your bounce and complaint rates in the process. Adding CAPTCHA or a honeypot field, along with basic rate-limiting on repeated submissions from the same IP, closes this gap.

7. No working reply-to address

A "no-reply@" address is treated as a mild red flag by some filters, and it's also a poor experience for anyone trying to respond to you. At minimum, your reply-to address should be a real, monitored mailbox — and one with its own decent reputation, since a suspicious or free-email reply-to address can itself trigger spam filters.

8. No plain-text version of your emails

Spam mail rarely bothers to include a plain-text alternative alongside the HTML version, so its absence in your own mail can work against you. Beyond the deliverability angle, a plain-text version also helps recipients who can't render HTML and is important for accessibility, since screen readers often rely on it.

9. Link shorteners

Shortened links (bit.ly and similar) are a favorite tool for spammers because they hide the true destination of a link. Filters have caught on, and shortened URLs are frequently flagged or blocked outright. If click tracking matters to you, we can set up proper link tracking through your sending platform instead of a public shortener.

10. Typed-out, "raw" URLs

There's a real difference between a link like "visit our website" (text hyperlinked to a URL) and a link that spells out the full address as clickable text, like "visit oursite-example.com". The second pattern shows up disproportionately in spam and can trigger filters on its own — so always hyperlink descriptive text rather than pasting a bare, clickable URL.

11. Attachments

Malware and phishing links are commonly hidden inside ZIP files, office documents, or PDFs, so filters scrutinize any email carrying an attachment. Where possible, host the file on your website and link to it instead of attaching it directly — it takes one extra click but meaningfully improves your odds of reaching the inbox.

12. Content that trips filter rules

Word- and phrase-based filtering matters less than it used to, since overall sender reputation now carries more weight — but it hasn't disappeared, especially with smaller mail systems like corporate or university inboxes. Overly promotional language, spammy phrasing, or copy that reads as generated filler ("spoetry") can still get flagged. Keeping your subject lines and body copy concise, natural, and specific helps avoid this.

13. Poorly coded HTML

Broken or sloppy HTML doesn't always trigger spam filters directly, but it does make your email look untrustworthy or render badly — and a subscriber who sees a broken message is far more likely to hit "mark as spam." Using tested templates and checking rendering across major inboxes before sending helps avoid this entirely.

Bonus: Watch your linked and hosted domains too

Your own sending reputation isn't the only one that matters. Any domain you link to or host images on carries its own reputation, and that reputation carries over into your message. Common issues include:

  • Hosting images on free image-sharing sites, which spammers also favor
  • Linking to a domain that doesn't match your sending domain
  • Footer social media icons pointing to platforms with their own reputation issues

If a message is landing in spam and none of the above explains why, try temporarily stripping out external links and images and resending — if it reaches the inbox that way, you've isolated the cause.
